Occasionally, students will not indicate they are a Free/Reduced Lunch student when they register for their exams. Or they will change their answer after initial registration. When this happens, the student's registration is recorded without the waivers, as they did not let the system know they were eligible.
Adding F/R Waivers after Student changes their F/R response to YES
If the student has already edited their response to the free/reduced lunch question to "yes," then you just need to manually record F/R waivers to the student's account. Go to the F/R Lunch Students report (AP Report Center => Free/Reduced Lunch Students => F/R Lunch Students). The student will show as "Not Verified" in the F/R Lunch Students report since the answer to the Free/Reduced question for that student was changed after he/she registered. You will click Record Waiver to add the Free/Reduced lunch waiver.
Scrolling down to the bottom, you can record a F/R lunch waiver. When recording waivers for students with multiple exams, you can record a single waiver, but many schools will record a waiver for each exam as this is how the system records waivers when you approve F/R waiver requests. Recording multiple waivers is easily done by clicking the Add More Waiver button, and another row will be added for the second waiver.
When adding another row, be sure to set the Type to Free/Reduced Lunch Waiver and the Payment Method to Free Lunch Waiver as the new row will not have these settings automatically applied.
Note: Just changing a registered student to F/R lunch by editing the student's free/reduced question will not apply waivers nor will it place a registered student in the F/R Lunch Waiver approval queue. You also do not want to drop the exams and have the student re-register as students cannot register for exams they have dropped. The directions above are the way to apply F/R Lunch waivers after a student has registered.
Changing the Student's F/R Status and Adding F/R Waivers
Applying F/R Lunch Waivers and placing a student who has registered on the F/R list is quite simple. Using the View/Enter/Edit Payments/Waivers utility (Report Center => Finances => View/Enter/Edit Payments/Fees/Refunds => View/Enter/Edit Payments/Waivers ) you can locate the student and click Enter Free/Reduced Lunch**. This will bring up the Enter Free/Reduced Waivers screen.
(** If the student does not have an Enter Free/Reduced Lunch link available, go to the "Adding F/R Waivers after Student changes their F/R response to YES" section above.)
Scrolling down to the bottom, you can record a F/R lunch waiver. Recording a waiver will apply the waiver, as well as mark that this is a F/R lunch student. This student will then show on your F/R Lunch Students Report.
