Once coordinators upload their College Board (CB) file into the Reconcile tool, they will see students grouped into five categories. Students Registered in TR - May Not Have Enrolled in CB is one of those categories. The students in this category have been identified as students registered for AP exams in Total Registration but may not match students in the College Board file the coordinator uploaded into the Reconcile tool. There are a few reasons students may be listed in this category:
- Make sure all students listed in the Potential Matches table have been verified if they have matching records.
- The student has two accounts in TR (registered with two different email addresses). This is easily checked in the View/Enter/Edits Payments/Waivers in the Finances Section of the AP Report Center. We recommend dropping the exams for the record that has a balance due.
- The student's record was previously matched to another record. In this case, you will find the student in the Matched Students table and can "unmatch" the record using the unmatch icon,
. This will allow the system to rematch records when the coordinator uploads the data file again.
- The student's first and last name and/or email address did not match data in the College Board's file. Many of these students will use a shortened version of their first name or nickname in one system but the full name in the other system (Mike vs Michael). The coordinator can easily edit the student's name in Total Registration if needed (see Editing Student's Information).
If the coordinator sees the student listed in the Students Enrolled in CB - Not Registered in TR table, then the coordinator can force a match between the two entries in the two tables that will result in the student moving to one of the Match tables. The coordinator should make note of the student's AP ID number listed in the Students Enrolled in CB - Not Registered in TR table and then click the Force Match icon and enter the student's AP ID number to force a match between the two entries. Once the coordinator refreshes the screen, the student will show in one of the Match tables.
If the coordinator does not find any record of the student indicating in the College Board system that he/she plans to take the AP exam(s), then the coordinator can email the students letting them know to take action. Simply click the Email These Students button to do so, as seen in the below image.
An email message will generate that uses merge codes. Coordinators can use the merge codes so the email will be customized to each student.
