Coordinators cannot create sections in the College Board's section for teachers who have not completed the College Board's mandatory course audit. This means you cannot get a join code from the College Board for that particular teacher's course section, which means their students cannot join the MyAP classroom for that course. Please encourage your teachers to complete the College Board's course audit in a timely manner so you will be able to enter all join codes into Total Registration and, thus, your students will be able to easily receive their join code(s) when they register for AP exams in the Total Registration system.
However, if you wish to start your exam registration in Total Registration before you have all join codes from the College Board, you have two options.
- Create an "Exam Only" section in College Board for the teacher who has not yet completed the course audit and have students enroll via that join code. The downside to this is that you will need to move those students to the correct section in College Board once the teacher does complete the audit and can get a join code.
If you wish to go this route, you will need to copy the "Exam Only" join code once you upload your join code file to Total Registration and then paste that join code into the teacher's join code fields on the Edit Exam page. In this example, the Biology teacher Judy Smith did not complete the audit so the coordinator will copy the "Exam Only" join code TEST118 after they upload the join code file to TR and then click the exam's name to move to the Edit Exam page (see below screenshot):
Once on the Edit Exam page, scroll to the bottom of the page and paste the copied join code into the join code fields for the teacher who has not yet completed the course audit and click Save (see below screenshot for example):
Once the teacher does complete the course audit in the College Board system and has actual join codes, you can come back to this page by going to AP > Manage/Set Up AP Exams and clicking the edit icon for the exam and replace the "Exam Only" join code with the correct join codes. However, you will need to manually adjust students who enrolled in the College Board's system with the "Exam Only" join code so they can join MyAP Classroom with the correct join code for their teacher/course.
2. Manually type "See Teacher" into the Join Code box in Total Registration for the teacher/period
missing a join code. The downside to doing this is students will not be able to enroll in the College Board's system until the teacher completes the audit and distributes the join code to those students.
If you wish to go this route, you will go to AP > Manage/Set Up AP Exams, click the edit icon for the exam in question, scroll to the bottom of the page and type "See Teacher" in the Join Code box for that particular teacher and each period linked to that teacher, and click Save. You can then go back to the Configuration Interview to complete the interview.
The downside to doing this is you are putting the onus on the teacher to distribute join codes to the students once the teacher completes the course audit. The students will need to be sure to enroll in College Board's MyAP Classroom with the join code once the teacher completes the audit so the students can choose to enroll for the exam in that system.
